SPS processes your personal data because you use our services and/or because you provide it to us yourself. Below is an overview of the personal data we process:
- Name
- Company name
- Email address
- Phone number
- Comments
Only if you give your consent via our cookie banner, we also process data about your visit to our website:
- Data about your browsing behaviour on our website, such as pages visited, clicks, referrer (for example a search engine) and time of visit
- Technical data, such as device type, browser, screen size, language and approximate location (country/region)
- Your IP address, among other things to recognise which company is visiting our website
Special and/or sensitive personal data we process
Our website and/or service does not intend to collect data about website visitors who are younger than 16, unless they have permission from their parents or guardian. However, we cannot verify whether a visitor is older than 16. We therefore encourage parents to be involved in the online activities of their children, in order to prevent data about children being collected without parental consent. If you are convinced that we have collected personal information about a minor without such consent, please contact us at privacy@othersidesoftware.com and we will delete this information.
For what purpose and on what basis we process personal data
SPS processes your personal data for the following purposes:
- To be able to contact you and provide you with the information you requested. Legal basis: your request and our legitimate interest in responding to it.
- To send you our newsletter, if you subscribe to it. Legal basis: your consent. You can unsubscribe at any time via the link in every newsletter.
- To analyse the use of our website so that we can improve it. Legal basis: your consent.
- To recognise companies visiting our website so that we can inform them about our solutions in a targeted way. Legal basis: your consent.
You can withdraw your consent at any time via Cookie settings.
Automated decision-making
SPS does not make automated decisions on matters that may have (significant) consequences for individuals. These are decisions taken by computer programs or systems without the involvement of a person (for example an SPS employee).
How long we keep personal data
SPS does not keep your personal data longer than strictly necessary to achieve the purposes for which your data is collected. We apply the following retention periods:
- Requests
- Personal data entered with a request: 1 year, to be able to contact you and provide you with the information you requested.
- Newsletter
- Your email address: for as long as you are subscribed. After you unsubscribe, we only keep a record that you have unsubscribed, so that you no longer receive the newsletter.
- Analytics
- Website usage data in Google Analytics: 14 months.
- Company recognition
- Data about visiting companies: as long as needed for our contact with these companies, up to a maximum of 2 years.
Sharing personal data with third parties
SPS does not sell your data to third parties and only provides it if this is necessary for the performance of our agreement with you or to comply with a legal obligation. With companies that process your data on our behalf, we conclude a data processing agreement to ensure the same level of security and confidentiality of your data. SPS remains responsible for these processing operations.
To measure website usage we use, only with your consent, Google Analytics (Google Ireland Ltd.). We have configured Google Analytics so that data is not shared for other Google services. Google may process data in the United States; this transfer is covered by the EU-US Data Privacy Framework. To recognise visiting companies we use, also only with your consent, the service of Leadinfo B.V. (the Netherlands). Leadinfo matches the IP address of business visitors with public company data, so we can see which companies visit our website. Leadinfo acts as our processor and passes the recognised company data on to Google Analytics and to our CRM system HubSpot.
We manage newsletter subscriptions and data about companies we are in contact with in HubSpot (HubSpot Ireland Ltd.). Our HubSpot account is hosted in HubSpot’s European data centre; HubSpot may also process data in the United States, which is covered by the EU-US Data Privacy Framework. HubSpot acts as our processor.
